We collect only what is necessary to respond to your transportation request and provide our services. You are never required to share medical diagnoses, detailed health history, or insurance policy numbers with us.

3. How We Use Your Information

  • To follow up on callback requests and lead form submissions
  • To send you transportation updates, scheduling reminders, and ride confirmations

We will never use your information to make transportation guarantees, approve insurance coverage, confirm Medicaid or Medicare eligibility, or provide medical advice. All ride scheduling requires manual confirmation by a Greeley Ride Service team member.

Opting out of marketing communications will not affect your ability to receive transactional messages related to a confirmed ride you have scheduled.

We do not sell your phone number or email address to third parties for their own marketing purposes. Your contact information is used solely by Greeley Ride Service and our service providers who assist in delivering our communications.

5. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:

  • Service providers: We use third-party tools to operate our business, including Zapier (automation and data routing), OpenPhone (business communications), Beehiiv (newsletter delivery), and other technology platforms. These providers access your information only to perform services on our behalf and are contractually prohibited from using it for other purposes.
  • Legal requirements: We may disclose your information if required by law, court order, or government request, or to protect the rights, property, or safety of Greeley Ride Service, our riders, or others.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
  • With your consent: We may share your information for any other purpose with your explicit consent.

We do not share your transportation needs, health plan information, or mobility needs with any clinic, facility, insurance company, or government agency without your explicit permission.

6. Health-Adjacent Information

Some information you provide to us — such as your appointment type, clinic destination, or mobility needs — may be considered health-adjacent. We handle this information with heightened care.

Important clarification: Greeley Ride Service is a transportation coordination service, not a healthcare provider or covered entity under the Health Insurance Portability and Accountability Act (HIPAA). The information you share with us is not protected health information (PHI) as defined under HIPAA. However, we voluntarily apply the following standards:

  • We collect only the minimum information necessary to coordinate your transportation
  • We do not share health-adjacent information with third parties except as described in Section 5
  • We store health-adjacent information securely and limit internal access
  • We never use your appointment type, medical condition references, or mobility needs for advertising targeting

Do not share detailed medical records, diagnosis information, prescriptions, or insurance policy numbers through our web forms or SMS. We do not need this information to coordinate transportation and are not equipped to handle it securely.

7. Data Retention

We retain your personal information for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Specifically:

  • Active rider records: Retained for the duration of your relationship with Greeley Ride Service plus three (3) years
  • Lead and inquiry records: Retained for two (2) years from the date of submission
  • SMS and email opt-out records: Retained indefinitely to honor your opt-out request
  • Website analytics data: Retained for up to two (2) years

You may request deletion of your personal information at any time by contacting us as described in Section 14. We will honor deletion requests subject to any legal retention requirements.

8. Your Rights and Choices

Depending on your location and applicable law, you may have the following rights regarding your personal information:
